2. Keep player information up to date

Viewing a player

  1. Go to Players → All Players.
  2. Use the search box or the filters at the top to find the player, then click their name.

The player's page shows everything on record: name, date of birth, age group, contact and emergency-contact details, registration status, their guardians, and which squads they're in.

What you can change

As a team secretary, the thing you manage directly on this page is squad membership — see Section 1.

You can also change a guardian's email address. In the Guardians section, click Change email next to the guardian, enter the new address and click Send Confirmation Link. Two emails go out:

  • the new address gets a link to confirm it's theirs, and
  • the old address is told the change has been asked for.

Nothing changes until the link is followed. Until then the guardian shows Change pending and the club keeps using the old address. The link lasts three days; if it runs out, or the address was mistyped, just ask again — the newer request replaces the old one.

The change reaches every child the guardian is on, including any in other squads, so brothers and sisters don't end up with different addresses. The screen tells you how many children it covers before you send.

If a confirmed change doesn't fully go through, the guardian shows Change did not complete with the reason. Click Try again if it's offered, or Dismiss once it's sorted — and ask your club admin if you're not sure.

What needs the club admin

A player's core details — name, date of birth, FAN ID, contact details, and guardian names — are read-only for team secretaries. Most of this information comes from the FA's Whole Game System and is kept in step by the club's regular import, so it's deliberately locked down to avoid two people editing it in different places.

That holds for players you added yourself as well: you can create the record, but once it's saved, correcting it is a club-admin job. Worth checking the date of birth before you click Add Player.

If something else is wrong or missing — a misspelt name, a wrong date of birth — don't worry about fixing it yourself. Note it down and send it to your club admin, who can correct it. Getting the guardian email right matters most, because that's the address your emails and the season sign-up link go to (Sections 3 and 4) — which is why that one you can change yourself.
