Before you start¶
Logging in¶
Everything happens in the club's WordPress admin area. Go to your club website and
add /wp-admin to the end of the address (for example
https://ourclub.example/wp-admin), then sign in with the username and password
your club admin set up for you.
Once you're in, look at the black menu down the left-hand side. You'll use two items:
- Club Management — where your Squads live
- Players — your player list, Email Guardians, and Team Registrations
If you don't see these menus, your account probably hasn't been linked to a squad yet. Ask your club admin to add your email address as the Team secretary email on your squad (see Getting help).
What you can do¶
Your access is scoped to your own squad(s). You'll only see your squads and the players in them — you can't accidentally change another team's data. A few jobs are handled by the club admin (whoever runs the club's website); this guide points those out as they come up.
| Job | You (team secretary) | Club admin |
|---|---|---|
| Add / remove players in your squad | ✅ | ✅ |
| Email your squad's guardians | ✅ | ✅ |
| View player, guardian & registration details | ✅ | ✅ |
| Rename your squad / change its team secretary email | ✅ | ✅ |
| Change your squad's age range or type | Ask the club admin | ✅ |
| Change a guardian's email address | ✅ | ✅ |
| Correct a player's details or a guardian's name | Ask the club admin | ✅ |
| Add a brand-new player to the system | ✅ | ✅ |
| Run season registration (send sign-up links, approve players) | View & chase only | ✅ |
To rename your squad or change its contact address, go to Club Management → Squads, click your squad, then Edit.
Changing the Team secretary email hands the squad over. That address is what gives access to the squad, so as soon as you save a different one you lose the squad yourself. Only change it when you're handing on to a successor — and if it's your own address that's changed, ask your club admin to update it for you.
