4. Getting your players registered for the season¶
Each season, players need to be registered so they're signed up and eligible to play. The behind-the-scenes mechanics — sending each parent their private sign-up link and marking players as approved — are run by your club admin from a screen you won't see. But you play an important part in getting your squad over the line.
How registration works (the whole picture)¶
- Your club admin sends each parent an approval / sign-up email with a private link.
- The parent clicks the link, checks their child's details, and submits the form. Their status becomes Parent approved.
- The club admin gives it a final check and marks the player Admin approved — they're registered.
Sending that email dates the player. Whoever sends it — the club admin from the Seasons screen, or you from the Send registration email link on your squad page — the day it first goes out is recorded as the day that player joined the season. It is how the club tells a family who joined part way through, and so pays subs for fewer months, from one who has been here since August and simply set their payment up late. Chasing a parent who hasn't replied doesn't change it, so re-send as often as you need to.
Your part as team secretary¶
- Make sure your squad roster is complete and correct (Section 1). The club admin only contacts the parents of players who are in a squad, so a missing player means a missed family.
- Check who still needs to register. Go to Players → Team Registrations to see your players and their status (for example Registered, Pending, or Expired). This is your at-a-glance list of who's done and who hasn't.
- Chase the stragglers. Use Email Guardians (Section 3) to nudge the parents who haven't completed registration yet — a friendly reminder with the deadline usually does it.
- Help parents who are stuck. If a parent says their link doesn't work or they can't find the email, tell your club admin — they can re-send the sign-up link.
Confirm or decline a player yourself¶
You can set a player's status for the current season straight from your squad, without waiting on the club admin:
- Club Management → Squads → Manage (your squad).
- In the Players list, the Confirmed for … column (headed with the active season's name) shows each player's current status, with Confirm and Decline buttons next to it.
- Click Confirm to mark the player Admin approved, or Decline to mark them Admin declined. Declined players move to a separate list on the same page, where you can Confirm them again if their plans change.
Next to it, the Registered column shows the day the club took each player on for that season — the day their registration email went out, or whatever date the club admin has since corrected it to. A player taken on after the season had already started is tagged Joined in-season, which is worth knowing before you ask why their payment plan is smaller than everyone else's: they're only paying for the months that are left. A dash means no date has been recorded for that player yet — usually because their registration email hasn't gone out. You can't change the date here — ask your club admin if one looks wrong.
You can only set the two admin decisions (Confirmed / Declined). The Parent approved and Parent declined statuses only ever come from the parent's own reply to their sign-up link, so they aren't options here. The buttons apply to whichever season the club has marked active — if there's no active season, there's nothing to confirm yet.
Two different "registrations": Team Registrations (Players menu) shows each player's FA registration status. The season sign-up you help chase is run from the club admin's Seasons screen. If you only see one of these, that's expected — the Seasons screen is club-admin only.
