4. Squads¶
Menu: Club Management → Squads
A squad is an age group, e.g. "Under 10s". Squad membership is not tied to a season: a player stays in their squad until you move them.
Date-of-birth ranges¶
Each squad has a date-of-birth range — the birth dates that belong to it. These are fixed birth-date cohorts, not rolling age bands: an Under 10s squad born in 2015/16 stays that same group of children as the years pass, and you create a new squad for each new intake rather than letting the range slide.
The range is what powers squad suggestions: when a parent signs up through the public form, the child's date of birth is matched against every squad's range, and the matching squad's secretary is emailed. Both ends of the range are required when you add a squad — a squad without one is invisible to every suggestion and matches no eligible players.
Squad type¶
Mixed, Girls or Boys. A Girls squad only suggests and accepts players recorded as female, and vice versa; a Mixed squad takes anyone.
Team secretary¶
The email address of the WordPress account that runs this squad. It is required: it gives that person access to their squad (see Who can see what) and makes them the recipient of sign-up notifications for children in this age group.
A team secretary can change this address on their own squads, which is how a squad is handed to a successor — saving a new address there transfers access, and the outgoing secretary loses the squad straight away.
Registration override¶
The registration products this squad pays instead of the season's club-wide ones, set under Squad Details → Edit. Tick as many as the squad should be able to choose between. Leave them all unticked — as most squads will be — and the squad pays whatever the season offers everyone. See One squad paying something different.
The squad detail page¶
Lists everyone in the squad, with controls to add and remove players. Below the roster, Eligible Players lists everyone whose date of birth and gender fit the squad but who isn't in it yet, each with an Add button. Two filters narrow that list: the Male / Female / Both links, and a Only show players not in another squad checkbox for finding the children nobody has picked up yet. The two combine, and each keeps the other's setting.
Each roster row also carries a Registered date: the day the club took that player on for the active season, with a Joined in-season tag when it falls after the season had started. It reads the same date the Seasons screen records — see When a player joined — so a smaller payment plan on a November joiner needs no explaining. A player nobody has dated yet shows a dash. The date is read-only here; it is edited on the season's own page.
Each player row has a Payments link that expands to show all of that player's products linked to the active season, with a See more link to their full payment page.
A coloured dot beside the link summarises the player's registration status for the active season. It looks only at products whose type contains "registration" and whose season link is the active season:
- 🟢 Green — settled: Direct Debit active, paid offline, waived, or — for a one-off product with no instalments — the registration fee paid. A one-off product sets up no Direct Debit at all, so it never needs a mandate to count as done.
- 🟠 Amber — part-way through: awaiting the guardian's authorisation.
- 🔴 Red — not set up and not in progress, though the season has a registration product configured. Players who have never been sent a link show red too, so you can spot who still needs chasing.
No dot appears when the season has no registration product. Non-registration products — kit, tours — still appear in the box but never change the dot.
