11. Emailing guardians and secretaries

Email Guardians

Menu: Players → Email Guardians

Send a plain-text email to guardians. Choose recipients either by squad or by picking individual players. The recipient count updates as you change the selection, and it is the same count that is actually sent to.

Every guardian gets their own copy — no shared To or CC line — and a parent with several children gets one email, not one per child.

Payment status narrows the recipients further, to the guardians of players in the status you pick — the same statuses the Payments page filters by. A player counts when any of their products is in that status, and Not set up covers players with no payment set up at all, which is what makes it the one to use for a chase-up email. The filter stacks with whatever else you have chosen, so a squad plus a status emails only the guardians in that squad who are also in that status. Club admins only.

These are single statuses, not the dashboard's columns. The dashboard counts Awaiting guardian under Not set up — both are the club's to chase — but here they are two choices, so a chase-up that should reach everybody needs each in turn. Which is usually what you want: one is "here is your link" and the other is "you already have one".

A team secretary sees only their own squads here, and their sends are limited to those squads however the form is filled in. They do not see the payment status filter.

Sends run in the background in batches, so a large send does not time out. Progress is reported as it goes.
